Monday.com

Connect Gravity Forms to monday.com and automatically create or update board items from form submissions. Map form data to supported board columns, assign people and teams, apply conditional logic, and keep your workflows moving with background processing.

Overview

The Gravity Forms monday.com Add-On makes it easy to send form submissions directly to your monday.com boards.

Create a feed for any Gravity Form, select the destination board and optional group, then map submitted values to the item name and supported monday.com columns. When an entry is submitted, the add-on automatically creates a new board item with the information your team needs—without requiring manual data entry or a separate automation service.

Flexible column mapping lets you connect form fields to text, date, status, dropdown, checkbox, people, and other supported column types. Status and dropdown mappings can use options from the selected board, while People columns can assign monday.com users or teams by ID, email, name, me, or team:ID. Multiple assignees can also be provided using comma-separated values.

When a submission relates to work that already exists, the add-on can update an existing item instead of creating a duplicate. Choose whether to find matching items by item name or by the value of a mapped board column.

Use Gravity Forms conditional logic to control which submissions are sent to monday.com. Feeds run asynchronously in the background, helping form submissions complete promptly, and payment forms can delay processing until payment has been received.

After a successful create or update operation, the monday.com item ID is stored with the Gravity Forms entry and a note is added to the entry. This provides a convenient record of the integration activity from within WordPress.

The result is a straightforward way to turn Gravity Forms submissions into organized, actionable work in monday.com.

How It Works

Start by connecting WordPress to monday.com:

  1. In monday.com, create or copy a personal API token from your developer settings.
  2. In WordPress, open Forms → Settings → Monday.
  3. Enter the API token and save the settings.
  4. Confirm that the connection status shows a successful connection.

The add-on connects directly to the monday.com GraphQL API. It does not require Gravity API credentials or an OAuth authorization flow.

Next, edit a Gravity Form and open Settings → Monday to create a feed.

Choose the monday.com board that should receive the form data. Once a board is selected, the add-on loads its available groups, supported columns, users, teams, and relevant column options. You can then:

  • Select an optional destination group.
  • Map the required Item Name.
  • Add mappings for supported monday.com columns.
  • Choose form fields, monday.com options, or custom values for each mapping.
  • Enable updates to existing items when needed.
  • Configure conditional logic to control when the feed runs.
  • Delay processing until payment is complete, if supported by the form’s payment workflow.

For People columns, mappings can use:

  • The monday.com user connected through the API token
  • A monday.com user
  • A monday.com team
  • A user or team ID
  • An email address
  • A person or team name
  • me
  • team:ID
  • Multiple comma-separated values

Status, dropdown, and checkbox columns display relevant monday.com options alongside the form’s available fields. Status and dropdown values can create missing labels when necessary.

When Update an existing item is enabled, choose how the add-on should locate the item:

  • Match the submitted item name to an existing item name.
  • Match a submitted value to a selected monday.com column.

When someone submits the form, the add-on:

  1. Checks the feed’s conditional logic.
  2. Waits for payment when delayed processing is enabled.
  3. Formats the mapped form values for their monday.com column types.
  4. Searches for an existing item when update matching is enabled.
  5. Creates a new board item or updates the matching item.
  6. Stores the monday.com item ID with the Gravity Forms entry.
  7. Adds a note to the entry after successful processing.

Feed processing runs in the background, allowing the submission experience to remain responsive while monday.com is updated.

File columns are not currently supported. They are excluded from feed mapping and are never written by the add-on.

The settings screen includes a Gravity Labs notice. This add-on is provided as-is and is not covered by official Gravity Forms support. Learn more at labs.gravity.com.

Create a feed

  1. Edit a form and open Settings → Monday.
  2. Add a feed and set a Name.
  3. Select a Board. The form reloads so groups and columns are available.

Monday feed settings with the feed name and board selector
4. Optionally select a Group.
5. Map Item Name (required), then map any other Monday columns you want to fill.

Field mapping for item name and Monday columns

  1. Optionally enable Update an existing item and choose how to match it.
  2. Add conditional logic if the feed should run only for some submissions, then save.

People columns can use the connected Monday user, a person, a team, or a custom value such as an email, a name, me, or team:ID. Status, dropdown, and checkbox columns list Monday options in the value dropdown.

After the form is submitted

The feed runs in the background. On success, Gravity Forms stores the Monday item ID on the entry and adds an entry note. If payment is required before the item should be created, enable delayed processing in the add-on settings so the feed waits until payment is received.

File columns are not mapped or written.
