Overview

The Gravity Forms Pipedrive Add-On makes it easy to send leads, contacts, opportunities, and follow-up tasks from your WordPress forms directly to Pipedrive.

Create a Pipedrive feed for any Gravity Form and choose what should happen when the form is submitted. A feed can create or update a person or organization, create a deal or lead, or schedule an activity. Map form fields to standard Pipedrive fields—including names, email addresses, phone numbers, deal values, expected close dates, and activity details—without manually transferring submission data.

The add-on also retrieves supported custom fields from your Pipedrive account, allowing each form to collect and send the information your sales process depends on. Deals can be assigned to a selected pipeline, stage, owner, and currency, while leads and activities can be assigned to members of your Pipedrive team.

When creating a deal, lead, or activity, you can optionally create or update a related person and organization as part of the same feed. This helps keep CRM records connected from the start, so sales teams can see the customer, company, opportunity, and next step together in Pipedrive.

Flexible duplicate handling gives you control over existing contacts and companies. People can be matched by email address and organizations by name. When a match is found, choose whether to update the existing record, use it without making changes, or create a new record.

You can also add a note to the records processed by a feed or automatically schedule a follow-up activity after a person, organization, deal, or lead is saved. Gravity Forms conditional logic controls which submissions are sent, while payment integrations can delay processing until payment has been received.

After processing, the add-on stores the resulting Pipedrive record IDs with the Gravity Forms entry and adds direct record links to the entry notes. This makes it easier for administrators to confirm what was sent and move between the original submission and its related CRM records.

The result is a flexible way to connect lead-generation, quote, contact, registration, and payment forms to Pipedrive—without requiring staff to re-enter submission data manually.

How It Works

Connect the add-on to Pipedrive by entering your company subdomain and API token in the Gravity Forms settings. The connection status confirms whether the credentials are valid and identifies the connected Pipedrive user.

Next, edit a form and create a Pipedrive feed. Choose one of the available feed actions:

  • Create or update a Person
  • Create or update an Organization
  • Create a Deal
  • Create a Lead
  • Create an Activity

Map the relevant Gravity Forms fields to their Pipedrive destinations. Depending on the selected action, you can configure details such as:

  • Person name, email address, and phone number
  • Organization name
  • Deal or lead title and value
  • Deal pipeline and stage
  • Lead expected close date
  • Activity subject, type, and due date
  • Record owner
  • Currency
  • Supported Pipedrive custom fields
  • Note content

For deals, leads, and activities, you can also choose to create or update a related person, organization, or both. When both are enabled, the organization is processed first, followed by the person, so the person can be associated with the organization before the primary record is created.

When someone submits the form, the add-on:

  1. Checks the feed’s conditional logic and payment-processing requirements.
  2. Maps the submitted values to the configured Pipedrive fields.
  3. Searches for an existing person by email or organization by name when duplicate matching is enabled.
  4. Updates, reuses, or creates the person and organization according to the selected duplicate rules.
  5. Creates the configured deal, lead, or activity and links the related records.
  6. Adds an optional note containing mapped submission details.
  7. Creates an optional follow-up activity.
  8. Stores the resulting Pipedrive IDs with the Gravity Forms entry.
  9. Adds an entry note with direct links to the related records in Pipedrive.

This creates a connected workflow in which information collected through Gravity Forms is ready for qualification, assignment, and follow-up in Pipedrive.luded from feed mapping and are never written by the add-on.

Connect Pipedrive

  1. In Pipedrive, open your avatar, then Personal preferences, then API, and copy your API token. That page is https://your-company.pipedrive.com/settings/api.
  2. In WordPress, open Forms → Settings → Pipedrive.
  3. Enter the company subdomain from your Pipedrive URL. For https://acme.pipedrive.com, enter acme.
  4. Paste the API token and save. The connection status shows the Pipedrive user that owns the token.
  5. Use Refresh Pipedrive Data after you add pipelines, stages, users, custom fields, or activity types.

Create a feed

  1. Open a form and go to Settings → Pipedrive → Add New.
  2. Choose an action:
    • Person maps a name, email, phone, and any custom person fields. Email is required when the feed should match an existing person.

  • Deal maps a title and value, then chooses a pipeline, stage, currency, and owner. You can also create or update a person and an organization and link them to the deal.

  • Lead maps a title, value, and expected close date. Leads use the same custom fields as deals and must be linked to a person, an organization, or both.

  • Activity maps a subject and due date, then chooses a type and owner. You can also create or update a person and an organization and link them to the activity.
  1. For people and organizations, choose what happens when a match already exists: update the record, skip the update and use the existing record, or always create a new record. People match on email. Organizations match on name. Deals and leads are always created.
  2. Optional: map a note to add to the records this feed creates.

After the form is submitted

The feed runs in the background. The entry is saved even if Pipedrive is unavailable. A successful feed stores the Pipedrive person, organization, deal, lead, note, and activity IDs on the entry and adds a note with links to those records. A failed feed adds an error note. If a later step fails after a person or organization was created, those IDs are still stored on the entry.
